Business Process Mapping

Goal

To capture and document all business and organizational processes.

Approach

Conducted interviews with all key personnel from each level-1 department and discussed their end-to-end process, starting with the initial process “trigger” to the final hand-off or process end-state.

Interviews included open discussions of top-level process steps, captured using sticky notes or a dry-erase board, and later entered into process mapping software such as MS Visio or Draw.io.

Supplier, Input, Process, Output, and Customer (SIPOC) exercises were conducted on an as-needed basis for those unsure where to start.

Due to continued inputs from various departments, the process flow was maintained in a constant “Draft” status and made available on the wall of a dedicated meeting room. Employees were encouraged to review and markup/comment on the processes as necessary and updated weekly.    

Results

The results were great, and communication throughout the organization was fantastic. It also helped departments visualize their internal/external customers and upstream and downstream requirements. It was surprising how little departments talk to each other despite their dependence on each other. (Just a personal observation. )

 This process mapping project allowed us to continue the documentation process in which we created standard operating procedures, work instructions, forms, checklists, and other associated documents
